Ida is a desktop application that helps you capture, transcribe, and organize information using AI. This Privacy Policy explains how we collect, use, and protect your information.
Information We Collect
Local Data
Ida stores the following data locally on your device:
- Audio recordings and transcriptions
- Indexed documentation and notes
- Chat conversations with AI
- Application settings and preferences
- Google Calendar integration tokens (if enabled)
Data Sent to Third Parties
To provide AI-powered features, we send data to the following services:
- Groq: Audio files for transcription and chat messages for AI responses
- OpenAI: Text content for generating embeddings (vector search)
- AssemblyAI: Audio files for alternative transcription (if enabled)
Analytics Data
We collect minimal anonymous analytics:
- App version and update checks
- Website variant impressions and download events (A/B testing)
- No personally identifiable information is collected
How We Use Your Information
- To provide transcription and AI recommendation features
- To enable document search and chat functionality
- To sync your data across devices (optional)
- To improve the application through anonymous usage analytics
- To deliver software updates
Data Storage and Security
- All your content is stored locally on your device by default
- Optional sync feature stores encrypted data on our servers
- We use industry-standard encryption for data transmission

Third-Party Services
Ida integrates with third-party AI services (Groq, OpenAI, AssemblyAI) that have their own privacy policies. By using Ida, you acknowledge that your data will be processed by these services according to their terms.
Google Calendar Integration
Ida's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
What We Access
If you enable Google Calendar integration, Ida requests read-only access to your
calendar using the calendar.readonly scope. We access the following data:
- Event titles (summary)
- Event start and end times
- Attendee email addresses
- Meeting links (Google Meet/Hangouts links)
- Event IDs for linking to sessions
How We Use This Data
Your Google Calendar data is used exclusively for the following purposes:
- Display upcoming meetings: Show your scheduled events within the app so you can prepare for calls
- Link sessions to meetings: Associate your Ida sessions with specific calendar events for better organization
- Match accounts to meetings: Use attendee information to suggest which account a meeting relates to
- Quick meeting access: Provide direct links to join video calls from within Ida
Data Storage and Sharing
- Calendar data is processed locally on your device only
- We do not send your calendar data to our servers or to third parties
- We do not store or cache calendar content on disk beyond what is needed to display upcoming meetings in the app session
- We do not use your calendar data for advertising, marketing, or profiling
- We do not include calendar content or attendee details in diagnostics, logs, or analytics
- OAuth tokens are stored securely on your local device and are not shared
Token Retention
OAuth tokens remain on your device until you disconnect Google Calendar in Ida or revoke access in your Google Account settings, at which point we delete the local tokens. We do not retain tokens on our servers.
Revoking Access
You can disconnect Google Calendar at any time within Ida's settings, or revoke access through your Google Account permissions page.
Your Rights
You have the right to:
- Access and export your data (all data is stored locally by default)
- Delete your data by uninstalling the application
- Opt out of sync features
- Disable specific AI integrations
Children's Privacy
Ida is not intended for use by children under 13. We do not knowingly collect information from children under 13.
Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of significant changes through the application or our website.
