Introduction

Ida is a sales workspace that helps teams organize accounts, meetings, notes, communications, and related work. This Privacy Policy explains how Ida accesses, uses, stores, shares, and protects information when you use our application and website.

Information We Collect

Workspace and local data

Depending on the features you use, Ida may process:

  • Account, contact, opportunity, task, and workspace information
  • Audio recordings, transcriptions, notes, and indexed documentation
  • Chat conversations with AI
  • Application settings and preferences
  • Authentication and integration credentials

Ida stores content locally on your device by default. If you use collaborative or sync features, the workspace data needed for those features is also processed by Ida's servers.

Data sent to service providers

To provide features you choose to use, Ida may send relevant data to:

  • Groq: Chat messages and retrieved context for AI responses
  • OpenAI: Text content used to generate embeddings for search
  • AssemblyAI: Audio streams used for live transcription

Gmail message content retrieved for the recent-email feature is not sent to these AI providers.

Analytics data

We collect minimal anonymous analytics:

  • App version and update checks
  • Website pages, referral sources, campaign tags, broad device type, and conversion events
  • Short-lived anonymous visitor and session identifiers used to calculate aggregate traffic
  • Raw IP addresses, full browser identifiers, form contents, and personally identifiable information are not stored in website analytics
  • Global Privacy Control and browser “Do Not Track” signals are honored
  • Google Calendar event content, Gmail message content, and attendee details are excluded from diagnostics and analytics

How We Use Information

  • Provide transcription, search, account-management, and AI assistance features
  • Sync authorized workspace data across devices and collaborators
  • Display Google data in the user-facing features you choose to connect
  • Protect, maintain, troubleshoot, and improve the service
  • Deliver software updates and respond to support requests

Google API Data

Ida's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Google integrations are optional. Ida only accesses Google data after you connect your Google Account and grant the permissions shown on Google's consent screen. See our Google API Data Use disclosure for a focused description of access, use, storage, sharing, retention, and user controls.

Google Calendar

When enabled, Ida requests read-only Calendar access to show upcoming meetings, associate meetings with sessions and accounts, identify attendee relationships, and provide meeting links. This may include event titles, times, attendee email addresses, meeting links, and event identifiers.

Gmail

When enabled, Ida requests the restricted https://www.googleapis.com/auth/gmail.readonly scope. Ida uses it to find sent and received conversations matching the saved domains of the account you are viewing.

  • Ida requests a small set of recent matching message candidates on demand
  • Ida verifies sender or recipient domains before importing a conversation
  • Ida displays conversation history with sender, subject, time, recipients, and message text
  • Ida hides repeated quoted history in the reader while retaining the available original message text
  • Ida does not modify, send, delete, label, or otherwise manage your Gmail messages
  • Ida saves loaded message text and metadata in its database, scoped to your mailbox, workspace, and account. Saved emails are not automatically added to the content index
  • Ida does not use Gmail data for advertising or to train general-purpose AI models

Storage, Retention, and Security

  • Data is encrypted in transit using industry-standard transport encryption
  • OAuth credentials are retained only as needed to keep an integration connected
  • Loaded Gmail message text and metadata remain saved even after deletion in Gmail or revocation of Google access. Permanent workspace deletion removes its saved emails; you can also request deletion of saved email history. Attachment files and inline-image bytes are not archived by the email reader
  • Calendar metadata may be retained as needed to support calendar-linked workspace features
  • Access to connected Google data is limited to the user-facing features you authorize

We use administrative, technical, and organizational safeguards appropriate to the nature of the information we process. No system can guarantee absolute security.

Sharing and Human Access

We do not sell Google user data or share it for advertising, marketing, or data-broker purposes. We do not permit employees or contractors to read Google user data unless you provide affirmative consent for support, access is needed for security or abuse investigation, access is required by law, or the data has been aggregated and anonymized for internal operations. Service providers may process data only as needed to operate Ida and under applicable confidentiality and security obligations.

Your Controls and Rights

You can:

  • Revoke Ida's Google access from your Google Account permissions
  • Sign out of Ida to clear the active local session
  • Remove local application data by uninstalling Ida and deleting its local application data
  • Request access to or deletion of server-stored account data by emailing hello@tryida.com from the email address associated with your Ida account

Revoking Google access stops future Google API access but does not by itself delete other Ida workspace data. See Data Deletion for the complete process.

Children's Privacy

Ida is not intended for children under 13, and we do not knowingly collect personal information from children under 13.
